1. The exchange of large files.
More and more often companies handle files with external correspondence. These files may be presentations, photos, video files, schematics… The size of the files is growing larger. The solutions for file sharing are not always adequate and are often costly. The two methods of file sharing used most often today are:
• Email.
This solution is not as satisfactory and even impossible for the transfer of bulky files (blocking in the message system). In addition, email is not secure and the email can be intercepted during transfer. Finally the sharing leads to an increase in the number of emails in the mailbox.
• Sending a burned CD-Rom by messenger or postal service.
This method is costly and often does not fit with the time constraints of companies today. Even if the cost per unit is small, calculated with numerous mailings over the year, this can become a significant amount. The delivery time for a CD-Rom averages 24 hours by Express Courier (or much more for international deliveries), and up to 3 hours by messenger (domestic). These delivery periods greatly hamper productivity for a company whose projects sometimes require a faster reaction time.
• Using an FTP Server.
This method, often reserved for the experienced user, has limited uses and poses security problems, which render this method unusable by some companies.
2. Collaborative work by distance.
The exchange of documents with customers, partners, subsidiaries, or “off-site” collaborators most often occurs by the sending of emails with files attached. The number of exchanges is growing, with quick access to “good” information becoming a true economic stake for businesses. On the other hand, exchanges within the company are made through its IT network. Imagine if you could work the same way outside the company as you do within! Fewer emails, the document that your correspondent is working on is the “real” document …
3. Access by distance.
The number of traveling employees continues to grow. Whether a salesman, telecommuter, technician, or a manager, they may all need access to the data, or need to share documents in various places. Sometimes it is difficult or even impossible to connect to the IT network of their company and often they do not have the technical expertise needed to cope with new situations.
4. To monitor and make secure the exchange of files.
The files which are shared externally are often confidential. It is essential that the company be able to monitor and make their transfer secure.
